Make your numbers useful

From the first sale to the end-of-day review.

A simple routine helps you spot what is working, where money is going, and what needs a follow-up.

1Step 01

Track income and expenses

A busy day should leave you with clear records. Record your daily sales, note business expenses, and compare your cash and M-Pesa totals. Use the daily cashbook to keep a running record, or the expense tracker for a quick spending review.

Give every transaction a place

  • Record sales and money received
  • Note purchases and operating expenses
  • Reconcile cash and M-Pesa totals
  • Review the day before you close
2Step 02

Understand how your business is doing

Review sales and payment activity in your dashboard, then use your records to look at the bigger picture. Build a profit and loss statement, plan a budget, or check whether your prices cover your costs. Clear figures help you decide what to do next.

Make decisions with your figures

  • Review income for the period
  • Account for stock and operating costs
  • Estimate your profit or loss
  • Plan the next month with a budget
3Step 03

Stay on top of your payments

Manage online orders and payment records from your seller account. See payment status and follow up on outstanding orders with the details at hand. M-Pesa checkout is available once your shop has a verified payment connection.

From sale to payment record

  • Review orders and their payment status
  • Track cash and online payment activity
  • Find references when a customer asks
  • Follow up on payments that need attention
4Step 04

Plan your staff costs

Know what your team costs before you make your next staffing decision. Add base pay and overtime in the wage tracker, compare the wage bill with sales for the same period, and use the payslip generator to prepare individual pay records.

A clearer view of the wage bill

  • Include regular and casual staff costs
  • Add base pay and overtime
  • Compare labour costs with sales
  • Prepare individual payslips

Keep your business moving

Use what you know about your customers to improve service, simplify follow-up, and bring people back.

  • Reach customers on WhatsApp

Frequently asked questions

Business management questions, answered.

What is business management software?

Business management software helps you organise everyday work such as sales, payments, customer records, and reporting. LinkDuka combines a seller dashboard for orders, payments, bookings, and customers with free business tools for cashbooks, expense reviews, budgets, and staff cost calculations.

Who is LinkDuka designed for?

LinkDuka serves small businesses in Kenya selling products or services. Shops, boutiques, salons, barbers, repair businesses, and independent service providers can use the seller tools to manage online sales or bookings and keep track of customer activity.

Can I track income, expenses, and daily sales?

Yes. Your seller dashboard shows sales and payment activity, while the daily cashbook, business expense tracker, and bookkeeping ledger help you work with your income and spending records. The daily cashbook supports saved records through a shareable book link; individual calculators have their own saving and export options.

Can I manage M-Pesa payments?

LinkDuka supports M-Pesa checkout through a verified seller-owned Daraja connection or a configured managed payment route. Your shop needs a verified payment connection before buyers can check out. You can review payment activity and order status from your seller account.

Can I add staff to my shop and plan their pay?

Yes. Shop owners can create staff accounts from My Profile and deactivate or reactivate their access. Each person has their own sign-in for orders, bookings, and customers. The wage tracker calculates staffing costs, and the payslip generator prepares individual pay records. You arrange actual staff payments; the wage calculator does not save a staff list.

Can I send marketing messages to customers?

You can prepare WhatsApp campaigns and offers using your customer contacts, and use social posting tools to promote products. Choose messages that are relevant to customers who have agreed to hear from your business.

Do I need to install software?

You can use LinkDuka in your browser on a phone, tablet, or computer with an internet connection. You can also add LinkDuka to your home screen for convenient access.

How much does LinkDuka cost?

LinkDuka's public business calculators and tools are free to use. Seller account features follow the current LinkDuka subscription plans, and payment or messaging services may have separate charges. Visit the pricing page to check current plans before you sign up.
